1. Snazzy Posters: Let’s start with a bang! Eye-catching posters strategically placed around the office can be a great way to grab your attention and remind you of all the fantastic benefits waiting for you. So keep an eye out for these colorful signs!

2. Fun Facts: Who doesn’t love a good trivia? I’ll sprinkle some fun facts about different benefits here and there to keep you on your toes. Not only will they surprise you, but they’ll also remind you of the amazing perks you have.

3. Memorable Memos: I know, memos can be a bore. But fear not! I’ll make sure to liven them up with a touch of humor and creativity. So, when you see that memo pop up in your inbox, you won’t be able to resist clicking on it.

Sometimes, people don’t really take the time to look into all the cool stuff their companies have to offer. Whether they’re too busy or just a little nervous about taking a break, many employees miss out on some really great benefits. This means they might not get to enjoy special programs or perks, and it could also make them more likely to get burned out or face other problems.

If you’re worried that your employees aren’t making the most of their benefits package, including their paid vacation time, you’re definitely not alone. To give you some ideas on how to help, we asked some members of the Young Entrepreneur Council for some advice:

Sometimes people get so caught up in their work that they forget to take breaks. On the other hand, there are also times when people simply don’t know about the awesome perks their company offers. So how can we ensure that everyone is aware of and taking advantage of company benefits, such as vacation time, without bombarding them with emails from HR?

Tips for Communicating Employee Benefits

Let me share what members of the YEC community had to say:

1. Share It When People Start

When we hire new employees, we want to make sure they know about all the great benefits they’ll have from the get-go. So, as soon as someone joins our company, we let them know about all the advantages they can enjoy. We share information about our benefits on the careers page of our website for job applicants to see. And once we start the hiring process, we make sure to remind them about the benefits in various other places. ~ Thomas Griffin, OptinMonster

2. Explain It Clearly in the Employee Handbook

When creating an employee handbook, it’s important to include all the important information about your company’s policies and benefits. This includes details about time off, remote work options, sick leave, insurance, and any other perks your organization offers. By including all this information in one place, you won’t have to rely on HR emails to keep everyone informed. But sometimes, it’s helpful to send reminder emails for important deadlines, like signing up for health insurance.

3. Tell Stories and Give Examples

One effective way to showcase your company’s benefits is by asking your employees to share their experiences. For instance, if your company offers paid vacations, encourage your employees to share stories about their trips during team meetings. This not only informs everyone about the benefit, but also motivates them to make use of it themselves.

4. Show It In Pictures

Infographics can make it easier to understand and remember important information in the office. That’s why it’s a good idea to turn benefits information into attractive graphics and share them with the team. – Nicole Munoz, Nicole Munoz Consulting, Inc.

5. Make a Center for Employee Information

Create a central place where employees can find all the information they need about vacation time, benefits, and other important details. It’s crucial to carefully explain every benefit and provide instructions on how to use them. 6. Let HR Lead the Way in Meetings

Let’s talk about how HR teams communicate updates, just like any other team. We have our own meetings and even lunches where we discuss important things. I give HR a chance to share announcements during our team meetings, and we also have a special luncheon where everyone can ask questions and learn about the benefits they have access to. It’s really important for us to have dedicated time to talk about policies and contribute to our company culture. – Matthew Capala, Alphametic

7. Make things simpler

If it’s hard for employees to request time off or understand their benefits, we should simplify the process. One way to do this is by reducing the amount of paperwork or making the forms easier to fill out. If there are questions or information that isn’t really necessary, we can leave them out of the paperwork. – Jared Atchison, WPForms

8. Use Slack reminders

At my workplace, we use a Slack channel specifically dedicated to important announcements. One of the things we remind our employees about is to request time off before the deadline. This ensures that everyone knows their work schedules in advance, especially during holidays. It’s a great way to set everyone up for success because it makes sure that everyone is aware of what they need to do in order to take time off and relax.

9. Managers Checking In With Employees

Our managers have regular meetings with their team members, either weekly or bi-weekly. During these meetings, they ask about any upcoming vacations. This helps them plan accordingly for longer or overlapping time off. By having managers actively encourage and check in with employees, it keeps the idea of taking time off at the forefront of everyone’s minds. By doing this throughout the year, it prevents a last-minute rush of everyone wanting to take time off all at once.

10. Why Using Your Benefits is Crucial

You know, in our society, we’ve somehow come to view taking time off as a sign of weakness. But let me tell you, that’s not right. As a boss, one of my top priorities is to ensure my employees don’t burn themselves out. That’s why I always emphasize the importance of taking time off. And when someone on my team plans a vacation, we openly talk about it. I want everybody to be inspired and motivated to go recharge their batteries. – Rana Gujral, Behavioral Signals

11. Setting an Example for Others

I find that the best way to encourage people to take care of themselves is by leading by example. When my leadership team sets good boundaries, the rest of the company follows suit. Sometimes, an employee will tell me they’ll be on vacation but still want to be contacted if needed. Create fun and engaging newsletters for your company on a monthly basis. These newsletters can help everyone remember their benefits, deadlines, and any other important information. Knowledge is power, and benefits are a way for a company to show they care in an enjoyable way. 13. Seek Feedback

Ask for feedback and offer an exciting reward for participating. Conduct a survey to understand which benefits employees enjoy, don’t use, or would like to have. Make sure to provide participants with a reward that they would be thrilled to receive. 14. Foster a Culture of Rest

Leadership should always encourage employees to take time off. Incorporate rest and breaks into the company’s culture. Never make employees feel guilty for stepping away from work to recharge.
