I recently had the chance to chat with Simona Millham, a super smart Microsoft Certified Trainer and a trainer for an IT learning platform called CBT Nuggets. She had some fantastic advice specifically for small businesses like ours. Check it out!

Less Email, More Teams

Let me tell you about one awesome thing called Microsoft Teams. It’s a tool that helps businesses like yours keep all their communication organized in one place, so you don’t have to worry about losing important emails in a chaotic inbox. Cool, right?

Now, if you really want to make the most out of Microsoft Teams, here’s a pro tip for you: use it instead of email for internal stuff, not as an extra thing. Trust me, it’s way better that way!

There’s this guy named Millham who says, You know, if someone sends an email to the whole team with a not-so-important question, and everyone starts replying, it can get pretty wild. But with Teams, conversations are at the heart of it all. You can easily see threads at a quick glance and respond to what matters.

Oh, and here’s something cool! You can even share these awesome conversations with new team members!

I find that Microsoft Teams is a great tool for making the process of onboarding new employees much easier. When you hire someone new or add a team member to a new project, you can simply share the conversations from that specific thread or project with them. This way, they can quickly catch up without having to deal with a bunch of forwarded emails or bulky documents.

Keep it Simple with a Few Groups

Microsoft Teams lets you create different groups within your organization, so you can have conversations with the team members who are relevant to each specific group. However, I recommend not going overboard and creating too many groups right from the start. Instead, think about which employees work together on projects most frequently and create groups based on that. This way, you won’t overwhelm everyone with too many options. And remember, you can always add more groups later on if needed.

If you’re having trouble deciding which groups to start with, think about what you want to accomplish with each group. For instance, you might want a group specifically for high-level managers, where you can go when you need to make important strategic decisions. But you might also want groups for specific purposes, such as IT support or social media marketing.

Once you have your initial groups set up, you can always add more as specific projects require. Let’s say you have a special client project that involves people from different departments who don’t usually work together. In that case, you can create a group just for that project, so those employees don’t have to communicate in a more general thread.

It can get really confusing because Teams, Yammer, and Skype for Business have similar features, and users might prefer to stick with email rather than figure out the differences. So, here’s what I suggest: take the time to think about which tool is best for each part of your organization. Try out some different options with small groups of users and then give everyone clear guidance and information.
